    How to make an invoice

    1. Fill in your business details and your customer's. Add your logo if you like.
    2. Enter the invoice number, the date and the payment terms. The due date is worked out for you.
    3. Add a line for everything you charge: a description, a quantity and a price excluding VAT. Choose the VAT rate per line.
    4. Check the preview and the notes above the buttons, which tell you what is still missing.
    5. Click Download invoice (PDF).

    What has to be on a UK VAT invoice?

    For a VAT invoice, HMRC asks for, among other things: your name and address, the invoice number and date, your VAT number, your customer's name and address, a description of what you supplied, the price, the VAT rate and the VAT amount per rate, and the total. This tool puts all of these on the page, and the notes list what you haven't filled in yet. The rules differ in other countries, so check the requirements where you trade.

    VAT rates and special cases

    • 20% is the UK standard rate, 5% the reduced rate and 0% the zero rate. If you work under another country's rates, use the closest rate; the tool only adds the percentage you choose.
    • Not VAT registered: tick the box below the lines and no VAT is charged. The invoice says so.
    • Reverse charge: for services where your customer accounts for the VAT, choose Reverse charge for the line and fill in your customer's VAT number. The invoice carries the reverse-charge note.

    Currency and numbers

    Pick pounds, euros, US, Australian or Canadian dollars. Amounts are typed the English way (1,250.50) and calculated in whole pennies or cents, so rounding is exact.

    Is the invoice generator free?

    Yes. There is no account, no watermark and no limit on the number of invoices.

    What has to be on an invoice?

    For a UK VAT invoice, among other things your name and address, your VAT number, your customer's name and address, a unique invoice number, the invoice date, a description with quantities and prices, and the VAT amount per rate. The generator puts these on the page and warns you when something is missing. The rules differ per country, so check the ones where you trade.

    What is reverse charge?

    With reverse charge your customer accounts for the VAT instead of you, for example for certain services to business customers abroad or in construction. The invoice then shows no VAT amount, but it carries the reverse-charge note and your customer's VAT number.

    Is my invoice stored?

    No. Everything stays in your browser and is gone when you close the page, so download your invoice before you leave.

    Does it work on a phone?
