How to make a quote
- Fill in your business details and your customer's. Add your logo if you like.
- Enter the quote number and the date, and choose how long the quote is valid. The date it expires is worked out for you.
- Add a line for each part of the job: a description, a quantity and a price excluding VAT. Choose the VAT rate per line.
- Check the preview and the notes above the buttons, which tell you what is still missing.
- Click Download quote (PDF).
What should a quote include?
A quote doesn't have to meet the legal requirements of a VAT invoice, but a good one contains:
- your name, address and contact details, and your company and VAT numbers;
- your customer's name and address;
- a quote number and the date;
- a clear description of what you will deliver, with quantities and prices;
- the VAT amount and the total;
- how long the quote is valid;
- a note on what is not included, such as travel costs or extra work.
Quote or invoice?
A quote says what something will cost; an invoice asks for payment for work that was agreed or done. A quote has an expiry date but no payment terms, and it isn't part of your VAT return. Once your customer agrees and you deliver, send an invoice. If you have to reverse part of it later, make a credit note.
VAT and special cases
- 20% is the UK standard rate, 5% the reduced rate and 0% the zero rate. If you work under another country's rates, use the closest rate; the tool only adds the percentage you choose.
- Not VAT registered: tick the box below the lines and no VAT is charged. The quote says so.
- Reverse charge: choose Reverse charge for the line and fill in your customer's VAT number. The quote carries the reverse-charge note.

Frequently asked questions
Is a quote legally binding?
In most countries, a customer who accepts a quote that is still valid has a contract. In the UK a quote is usually an offer you can be held to, while an estimate is a rough figure. Put a validity period on every quote and say what is not included. For a large job, ask a solicitor to check your wording.
How long should a quote be valid?
That is up to you. Many businesses choose 14 or 30 days. If your costs depend on material prices, choose a shorter period. After the expiry date you are free to change the price.
Should a quote show VAT?
It's good practice. Consumers want to see the total including VAT, and business customers the amount excluding it. This generator shows the VAT per rate and the total, so both are clear.
Can I turn the quote into an invoice later?
Yes. Enter the same lines in the invoice generator once the work is agreed or done. A quote is not an invoice and does not count for VAT.
Is my quote stored?
No. Everything stays in your browser and is gone when you close the page, so download your quote before you leave.
